Automatic email sorting routes messages using a condition and an action. That condition may be an exact sender rule, a provider’s built-in category or a model’s interpretation of a category description. Choose the simplest method that addresses your actual inbox problem.
Which method fits your messages?
| Message pattern | Start with | Review carefully |
|---|---|---|
| Newsletter from a stable address | Sender rule | Account alerts from the same address |
| Known project reference in the subject | Subject rule | Overlapping references and forwarded threads |
| Sales pitches with varied wording | AI category with exclusions | Legitimate suppliers and ambiguous requests |
| Suspected phishing or a dangerous attachment | Provider security controls | Do not rely on inbox classification as protection |
Rules remain useful. A model is useful when a category depends on meaning across varied wording, but it can also make mistakes. Neither method guarantees that you will never miss an important message.
Define what the classifier can actually observe
AI Email Filter’s per-message prompt uses sender, subject and a body preview of up to 1,000 characters. It selects one category or leaves a message unmatched. It does not automatically know your contact history, contracts, previous purchases or the contents of every attachment.
For a fictional project, use “Messages containing project reference ATLAS-42 about delivery dates or requested changes; exclude unrelated offers.” Avoid “Messages about my important clients” unless you supply the identifiers needed to recognize them. Give competing categories clear boundaries rather than expecting the model to invent your priorities.
Roll out one category at a time
- Connect one supported mailbox with the connection method offered for that provider.
- Create a category with positive criteria and exclusions.
- Prepare matching, nonmatching and ambiguous examples; write down expected results.
- Run a dry preview and inspect each result against the original message.
- Apply a small reviewed batch using folder moves first.
- Enable scheduled processing only after checking the real results and retaining a review routine.
Keep native rules and AI categories from repeatedly moving the same message between folders. A local Thunderbird folder is not an IMAP folder that a hosted service can access. See Gmail filters, Thunderbird filters and the organization guide.
What “control” means in practice
History offers undo for supported moves while the message is still accessible. It does not undo permanent deletion or recall a forwarded email. A summary forwarding action attaches the original message too.
An own model does not make the hosted application local, and a configured default provider may be used as a fallback. Check model configuration before making privacy assumptions. Sender categories can be reused conditionally, not for every later message without checks.
This workflow is a setup and review method. It does not establish an accuracy rate or a fixed number of hours saved.
